Reminder: Seeking Suggestions for Commencement '08 Main Speaker
The Commencement Steering Committee welcomes your suggestions for the main speaker at Commencement '08. The Committee will make a recommendation to President Miller who, in turn, will forward a recommendation to the Board of Trustees. Given the challenges of scheduling potential speakers, it is very important that our decision be made in as timely a manner as possible. Therefore, the deadline for nominations is August 1.

Please keep in mind the multiple audiences at an Olin commencement – students, parents, extended family members, alumni, Trustees, President's Council members, staff and faculty. Ideally, we are looking for someone with a connection to Olin, or to engineering and with a perspective that resonates with the values of Olin. We want her/him to be a good speaker, who will be able to convey a thoughtful message, and add to the special sense of community at this important Olin event.

Please submit your suggestions, with the candidate's name and a short rationale, to Rod Crafts, Dean of Student Life, or to the Office of Student Life, Franklin W. Olin College of Engineering, Olin Way, Needham, MA 02492. Dean Crafts will collect nominations for review by the Committee.

"Yellow Lights" Now Available On DVD
Kevin Tostado ('06) and Tom Kochem ('06) would like to announce that their movie, Yellow Lights, which screened a rough cut last May at Olin, is now available on DVD with hours of all-new special features. You can purchase a copy of the movie by visiting the Yellow Lights website. The DVD is on sale for $15 plus shipping, and the soundtrack which features Olin alums Brian Shih ('07) and Sean McBride ('07) is also on sale for $11 plus shipping. Get a discount if you purchase both the DVD & the soundtrack. Thanks to everyone who contributed to making this movie a success!

Extra Copies of "Ship of Gold" Available for Staff and Faculty
All students will be reading Gary Kinder's Ship of Gold in the Deep Blue Sea this summer. The convocation is scheduled for Thursday, August 30th, at 7:00 pm in the Olin Center Auditorium. If you would like to join the students in reading this book over the summer, Rod Crafts has a few extra copies on an as-available basis. In recommending Ship of Gold, Allen Downey said, "It is about a group of treasure hunters that went looking for the wreck of the Central America, a steamship that sank off the coast of North Carolina in 1857, with 21 tons (yes, tons) of gold on board. It has everything: history -- the story of the Central America, technology -- the engineering of deep sea search and recovery, and entrepreneurship -- the process of financing the operation. And it's well-written and exciting."  The New York Times Book Review adds, "The author writes beautifully...Historical and technological reporting of the highest order."

Olin is Hiring!
A reminder that all open positions are posted on the Olin website. Please take a minute to review them and keep in mind that Human Resources is always looking for referrals from employees for open positions.

Financial Services Reminders About the June 30th Fiscal Year End
PCard Expenses: The June statement, which generally includes expenses incurred through June 26th, will be recorded in FY07. Expenditures incurred in June but appearing on the July statement will be recorded in FY08 since we have adopted a cut-off based on statement date.

Fiscal Year End Check Run: Due to the extended 4th of July holiday, we would like everything submitted by noon, Wednesday, June 27th for the Friday, June 29th check run. Since most items submitted for the Friday, July 6th accounts payable run will be FY07 expenses, they automatically record as FY07 unless “PREPAID” is written on the top of the form. Due to the holiday, you may drop off check requests for this run no later than 4:30, Thursday, July 5th.

“Accrued” Expenses: An invoice needs to be accrued if the goods/services were received/rendered before June 30th, but you don't expect to receive the invoice until after Thursday, July 5th. Please send an email to Susan Goldstein, no later than Friday, July 6th, if you have an item that you think should be accrued. Please note that open purchase orders are not accrued unless you request it.

For more information about the year end close, please read the last issue of Accounting Points, or call anyone in Financial Services!

Absence Reporting for Employees
Just a reminder with summer here - please remember to report your summer vacation plans (and any other absences) to John Easland in Financial Services. Click here to access the updated form. It is important to keep this information current and accurate since the cost of the unused vacation time is reported on the College's financial statements. Soon after June 30, the College's fiscal year end, we will send all staff and their supervisors a report of earned but unused compensated absences (vacation, sick and comp time) for review and confirmation of outstanding balances. Please send in your information now to make that review smoother. The revised form is also available on the portal in the Financial Services-Purchasing tab.

B.J.'s and Costco Representatives Visiting Olin
On Wednesday, June 27th from 11:30 am-1:30 pm, Olin will host a representative from Costco who will discuss membership renewal/generation. Following the Costco visit, on Tuesday, July 17th from 11:30 am-1:30 pm, a B.J.'s representative will come to campus to discuss B.J.'s membership benefits. Please contact Elaine Drobnis with questions.

Parents, Did You Know?

Send-Off Parties
Remember the excitement and anxiety of that summer before starting Olin? To welcome incoming freshmen and their families, the Parent Advisory Board (PAB) is seeking volunteers to host Send-Off Parties in their home states. In its third year, this relatively new Olin summer tradition is an informal way for new students and their families to meet current students, alumni and their families. Parties are strictly voluntary and can be hosted in a public park or private club or at someone's house. Don't worry about having to supply the food, just organize a pot luck! If you are interested in hosting a party, the PAB Events Committee has simple guidelines and can help you through the planning process. Parties can be hosted by parents, by current students, by alumni or any combination of the three.

Many new students are coming in from California, New York, Illinois, Pennsylvania and Massachusetts. In fact we already have one party scheduled for July 28th in the Southern California area … watch your email for additional details about that event. Not all states are largely represented, but we encourage folks to host a Send-Off party regardless of the numbers because it is an invaluable way to get to know one another.

If you want more information or are interested in hosting a party, just call (617-484-9094) or email Marlene Veldwisch, Chair of the PAB Events Committee. See you at a party!
