Year End Financial Procedures
Olin is quickly approaching the College's fiscal year end on June 30, 2006. A memo from Jack Mui, associate director of financial services details the policies and procedures related to closing the financial records for fiscal year 2006. Please review these procedures.

Budget Updates From Financial Services

FY07 Budget:
The Board of Trustees approved the College's FY07 budget at the division level in the May Board meeting. The next step is to prepare a detailed budget. This needs to be done in June so that budgets can be available in Jenzebar in July.

Budget targets will be sent to President, Vice Presidents and Deans in early June. They will work with departmental budget managers to allocate their non-compensation budget. In mid-June, the budget managers will meet with Zhaopeng Ji individually to discuss resource allocation and reconcile allocated budgets to targets. Once the detailed budget has been approved by Vice Presidents or Deans, the budget managers will input the data into the Jenzebar Budget Allocation Module. The target date of completing the Budget Allocation Module is June 28, 2006. This data will appear in Budget Review as the FY07 budget balance.

FY06 Actual vs. 3 rd Quarter Projection Analysis: The Board of Trustees requested an FY06 actual vs. Third Quarter budget projection analysis for the August Board meeting. Budget managers should thoroughly review year-to-date transactions using Jenzebar Budget Review for misclassified expenses. This can be started now to help spread out your workload. Please contact Tricia Benson at extension 2422 if corrections are needed.

On July 10, FY06 actual balances will appear in the budget allocation module. Budget managers are to analyze this data and send a summary of significant variances between the FY06 actual and Third Quarter projection to Zhaopeng Ji no later than Friday, July 14. Financial Services realizes that this is a tight timeline, but it is necessary in order to get the Board package done on time. If you have any questions, or if your vacation schedule makes these dates difficult for you, please contact Zhaopeng Ji at extension 2424 as soon as possible.
